(The refresh token is good for an hour, so the timeline depends on how much time is left on their token and whether they navigate out of their current webpage.)<\/p>\n<p><b class=\"ocpLegacyBold\">CAVEAT<\/b>: If the user is in Outlook on the web, just clicking around in their mailbox, they may not be kicked out immediately. What if the person used their personal computer to access OneDrive and SharePoint?<\/td>\n<td>If they used a personal computer instead of a company-issued computer to download files from OneDrive and SharePoint, there&#8217;s no way for you to wipe those files they stored.<\/td>\n<\/tr>\n<tr>\n<td>4. <a class=\"ocpInlineLink\" href=\"https:\/\/support.office.com\/client\/Remove-a-former-employee-from-Office-365-44d96212-4d90-4027-9aa9-a95eddb367d1#bkmk_block\" aria-label=\"Skip to section Block user access to Office 365 data and email\" data-bi-bhvr=\"NAVIGATION\">Block user access to Office 365 data and email<\/a><\/td>\n<td>It prevents the person from accessing their old Office 365 mailbox and data.<\/p>\n<div class=\"ocpAlert\">\n<p class=\"ocpAlertSection\"><b class=\"ocpNote\">Tip:<\/b>\u00a0When you block a user&#8217;s access, you&#8217;re still paying for their license. Keeps things clean.<\/td>\n<\/tr>\n<tr>\n<td>7. <a class=\"ocpArticleLink\" href=\"https:\/\/support.office.com\/client\/Get-access-to-a-former-employees-OneDrive-and-mail-data-a6f7f9ad-e3f5-43de-ade5-e5a0d7531604\">Get access to a former employee&#8217;s OneDrive and mail data<\/a><\/td>\n<td>You can move their documents to another location not associated with their account.<\/td>\n<\/tr>\n<\/tbody>\n<\/table>\n<p>You need to be a member of the <a class=\"ocpArticleLink\" href=\"https:\/\/support.office.com\/client\/Office-365-global-admin-role-da585eea-f576-4f55-a1e0-87090b6aaa9d\">Office 365 global admin role<\/a> to perform these steps.<\/p>\n<\/section>\n<p><a name=\"bkmk_preserve\" aria-hidden=\"true\"><\/a><\/p>\n<section class=\"ocpSection\">\n<h2><\/h2>\n<h2>Save the contents of a former employee&#8217;s mailbox<\/h2>\n<p>There are two ways you can save the contents of the former employee&#8217;s mailbox:<\/p>\n<ol type=\"1\">\n<li>Add the former employee&#8217;s email address to your version of Outlook 2013 or 2016, and then export the data to a .pst file. You can import the data to another email account as needed. To learn how to do this, see <a class=\"ocpArticleLink\" href=\"https:\/\/support.office.com\/client\/Get-access-to-and-back-up-a-former-users-data-a6f7f9ad-e3f5-43de-ade5-e5a0d7531604\">Get access to and back up a former user&#8217;s data<\/a>.OR<\/li>\n<li>Place a Litigation Hold or In-Place Hold on the mailbox before the deleting the user account. This is much more complicated than the first option but worth doing if: your Enterprise plan includes archiving and legal hold, litigation is a possibility, and you have a technically strong IT department.Once you convert the mailbox to an \u201cinactive mailbox,\u201d administrators, compliance officers, or records managers can use In-Place eDiscovery tools in Exchange Online to access and search the contents.Inactive mailboxes can&#8217;t receive email and aren&#8217;t displayed in your organization&#8217;s shared address book or other lists.To learn how to place a hold on a mailbox, see the TechNet article <a class=\"ocpExternalLink\" href=\"https:\/\/go.microsoft.com\/fwlink\/p\/?LinkID=286939\" target=\"_blank\" rel=\"noopener noreferrer\">Manage inactive mailboxes in Exchange Online<\/a>.<\/li>\n<\/ol>\n<\/section>\n<p><a name=\"bkmk_forward\" aria-hidden=\"true\"><\/a><\/p>\n<section class=\"ocpSection\">\n<h2><\/h2>\n<h2>Forward a former employee&#8217;s email to another employee<\/h2>\n<p>In this step, you assign the former employee&#8217;s email address to another employee, or <a class=\"ocpArticleLink\" href=\"https:\/\/support.office.com\/client\/convert-the-users-mailbox-to-a-shared-mailbox-2e122487-e1f5-4f26-ba41-5689249d93ba\">convert the user&#8217;s mailbox to a shared mailbox<\/a> that you&#8217;ve created.<\/p>\n<p>If you set up email forwarding, any <i class=\"ocpItalic\">new<\/i> emails sent to the former employee will now be sent to the current employee. If you convert the mailbox to a shared mailbox, all the old email will be available, too.<\/p>\n<ol type=\"1\">\n<li><b class=\"ocpLegacyBold\">IMPORTANT<\/b>: If you&#8217;re setting up email forwarding or a shared mailbox, at the end, you can remove the user&#8217;s license so you stop paying for it, but do not delete the actual account. You can remove the license so you aren&#8217;t paying for it, and the user can&#8217;t sign in to Office 365.<\/li>\n<\/ol>\n<\/section>\n<p><a name=\"bkmk_mobile\" aria-hidden=\"true\"><\/a><\/p>\n<section class=\"ocpSection\">\n<h2><\/h2>\n<h2><\/h2>\n<h2>Wipe and block a former employee&#8217;s mobile device<\/h2>\n<p>If your former employee had a organization phone, you can use the Exchange admin center to wipe and block that device so that all organization data is removed from the device and it can no longer connect to Office 365.<\/p>\n<ol type=\"1\">\n<li>Sign in to Office 365 at <a class=\"ocpExternalLink\" href=\"https:\/\/portal.office.com\/adminportal\/home#\/homepage\" target=\"_blank\" rel=\"noopener noreferrer\">https:\/\/portal.office.com\/adminportal\/home<\/a>.<!--To see this content click on the dropdown control labeled \"Have a different plan?\"-->\n<p class=\"ocHidden\"><a class=\"ocpExternalLink\" href=\"https:\/\/portal.office.de\/adminportal\/home#\/homepage\" target=\"_blank\" rel=\"noopener noreferrer\">Sign in<\/a> with your Office 365 admin account.<\/p>\n<p><!--To see this content click on the dropdown control labeled \"Have a different plan?\"--><\/p>\n<p class=\"ocHidden\"><a class=\"ocpExternalLink\" href=\"https:\/\/login.partner.microsoftonline.cn\/\" target=\"_blank\" rel=\"noopener noreferrer\">Sign in to Office 365 operated by 21Vianet<\/a><\/p>\n<\/li>\n<li>In the Office 365 admin center, in the lower-left navigation pane, expand <b class=\"ocpUI\">Admin centers<\/b> and select <b class=\"ocpUI\">Exchange<\/b>.Your screen might look like one of the following images:<img decoding=\"async\" title=\"Office 365 admin centers\" src=\"https:\/\/support.content.office.net\/en-us\/media\/0df0cf37-04b2-4051-8d45-8594587c5fa8.png\" alt=\"Office 365 admin centers\" \/><\/li>\n<li>In the Exchange admin center, navigate to <b class=\"ocpUI\">Recipients<\/b> &gt; <b class=\"ocpUI\">Mailboxes<\/b>.<\/li>\n<li>Select the user, and under <b class=\"ocpUI\">Mobile Devices<\/b>, choose <b class=\"ocpUI\">View details<\/b>.<\/li>\n<li>On the <b class=\"ocpUI\">Mobile Device Details<\/b> page, under <b class=\"ocpUI\">Mobile devices<\/b>, select the mobile device, click <b class=\"ocpUI\">Wipe Data<\/b> <img decoding=\"async\" title=\"WipeDevice\" src=\"https:\/\/support.content.office.net\/en-us\/media\/1c113a36-53cb-4974-884f-3ecd9535506e.png\" alt=\"WipeDevice\" \/> , and then click <b class=\"ocpUI\">Block<\/b>.<\/li>\n<li>Click <b class=\"ocpUI\">Save<\/b>.<b class=\"ocpLegacyBold\">Tip<\/b>: Be sure you remove or disable the user from your on-premises Blackberry Enterprise Service. You should also disable any Blackberry devices for the user. Refer to the Blackberry Business Cloud Services Administration Guide if you need specific steps on how to disable the user.<\/li>\n<\/ol>\n<\/section>\n<p><a name=\"bkmk_block\" aria-hidden=\"true\"><\/a><\/p>\n<section class=\"ocpSection\">\n<h2><\/h2>\n<h2><\/h2>\n<h2>Block a former employee&#8217;s access to Office 365 data<\/h2>\n<p><b class=\"ocpLegacyBold\">IMPORTANT<\/b>: Blocking an account can take up to 24 hours to take effect. If you need to immediately prevent a user&#8217;s sign-in access, you should <a class=\"ocpArticleLink\" href=\"https:\/\/support.office.com\/client\/reset-their-password-7a5d073b-7fae-4aa5-8f96-9ecd041aba9c\">reset their password<\/a> and then initiate a one-time event that will sign them out of Office 365 sessions across all devices.
